South Yorkshire Pensions Authority is organised into three groups of activity.

Pension Administration

Our largest group is the Pensions Administration department, which is at the heart of our operations, supporting our 170,000 scheme members. Within this department, there are dedicate teams:

This dynamic team manages case work and processes data from our employers, ensuring that our members receive great service. This is the largest team in our organisation and includes several smaller teams, including an MDC team.

Serves as the first point of contact for our members and employers and handles enquiries through phone, emails, and live chat.

The Employer Services Team will be responsible for everything the employer needs which includes but is not limited to; employer onboarding/terminations, accounting disclosures, employer training/presentations/forum and focus group, policy discretions, MDC workload, employer quotes/costs, & monitoring employer adherence to the admin strategy and act on non-compliance.



Resources

This team provides a range of corporate support services for the whole organisation across various domains and consists of several small teams:

Finance:
The team provides customer-focused financial management support for the Authority and its managers. Their responsibilities include accounting for contributions, pension benefits, investment transactions, treasury management, annual account preparation, external and internal audits, budgeting, financial forecasts, and maintaining financial controls.

Transactions:
Transactions are responsible for pensioners’ payroll processing and control, staff payroll, supplier payments, collection of income and raising of sales invoices (including credit control), and daily bank transactions processing and reconciliation.

Project & Performance:
This team ensures consistent program and project management across the organization. They support effective project delivery, manage the performance measurement framework, and contribute to the ongoing development of the corporate strategy

Governance:
The governance team is responsible for various critical functions within the organisation. These include managing governance arrangements, providing democratic services for formal meetings, coordinating learning and development, ensuring regulatory compliance, overseeing procurement, risk management, and maintaining organizational policies.

Communications:
Communications are responsible for both our external and internal communications plans and strategy. Including communicating with our scheme members including newsletters, annual reports, regular mailings and more, as well as looking after our social media channels, communicating with members, partners, and the wider public.

Executive Management Support:
This team is responsible for supporting the Senior Management Team and provides comprehensive administrative and management assistance. Their tasks include managing diaries, servicing monthly meetings, planning work cycles, ensuring timely reports, handling inquiries, and contributing to corporate projects, such as the annual report.

From recruitment to employee well-being, this team manages HR processes, attendance records, sickness absence, and promotes well-being initiatives. They also produce statistical information and management reports.

IT:
The IT team supports the organisation in all aspects of ICT hardware, software, infrastructure, and security. This includes end user devices, client software, servers, networks, internally hosted systems, cloud hosted systems, and telephony. Additionally, ICT develops bespoke desktop applications and online systems for the organisation and external clients.

Systems:
The Pensions Systems Team is responsible for testing and implementing upgrades and new installations to our current pension system, developing reports, and creating and improving processes within the system to help our frontline teams deliver a great service to our members

Operations Management:
The operations management team looks after Oakwell House and focuses on maintaining it and improving it in terms of health and safety risks.



Investment Strategy

The is a small team responsible for the development and implementation of the Fund’s investment strategy and the oversight of those managing money on behalf of the Authority.

The team are responsible for ensuring that the Fund operates in line with the Authority’s statement of beliefs regarding responsible investment which is central to the way in which we invest and is also one of our corporate objectives alongside achieving the investment returns necessary to achieve full funding of the scheme.
